Data Protection
Whilst we may not be a bank, Google or Amazon, we do take data privacy seriously. We will only use your personal information for the purposes of the administration of the club and we will never pass your information on to a third party without your express consent.
We hold the information you supplied to the club when you joined (or subsequently by adding/removing members, changing your address etc.) in an online spreadsheet within the Google Documents system. This is maintained by the Membership Secretary to ensure it is up to date. The newsletter editor also uses this document to determine who gets added to the ‘membership due for renewal' list in the newsletter as well as who gets the reminder and overdue emails/letters each month.
There is no specified club Data Protection Officer, all NMOC committee members are deemed to be able to exercise the obligations of the NMOC in relation to data protection.
All members of the committee have access to this document to validate who is and who isn't a member and from time to time we use it to get in contact with members if we need to, and don't see them at club meetings or other events. After the AGM each year the password that protects this document is changed so only the current committee ever have access.
We will retain your information for a period of one year after you cease to be a member of the club, in case you choose to return. If you would prefer to have your information removed from the document as soon as you cease to be a member you are of course entitled to do so and we will honour your request.
You are entitled to a copy of all information about you held by us at any time free of charge. Any requests for information held will be responded to within one month. The information provided will be that which is held within the club membership spreadsheet for the membership concerned
In the event that a data breach is identified, the relevant guidance from the Information Commission Office (or similar) will be reviewed, including in relation to notification obligations there under that need to be acted upon (see ico.org.uk for full details). The reasons for the breach will be investigated and any steps required to prevent such occurring again will be identified and actioned.
